Questions to Ask Before You Confirm a Conference Room Booking

A lot of people book a room, show up, and only then find out something is missing. Asking a few questions first can save you that trouble.
Is the Price the Full Price?
Some places quote a low number, then add charges for wifi, coffee, or extra chairs. Before you finish a conference room booking, ask what is included and what costs extra. A clear answer now beats a surprise bill later.
Can You See the Room First?
Photos online do not always match the real room. If you can, ask to see the space, or at least get recent photos. This matters more for a meeting conference room you plan to use for a full day, since small details like lighting or noise are easy to miss from a listing.
What Happens if Plans Change?
Dates shift. People get sick. Meetings get moved. Ask about the cancellation policy before you book, not after. Some places charge nothing if you cancel early; others charge the full amount no matter when you cancel.
Is Setup Time Included?
A one-hour meeting often needs fifteen minutes before it to set up laptops and test the screen. Ask if that time is part of your booking or if you need to pay for it separately. This is easy to forget and easy to fix by just asking early.
Who Do You Contact on the Day?
If something goes wrong, like the wifi dropping or the room being too cold, you want to know who to call right away. Ask this before your event, not during it.
Does the Room Actually Fit Your Group?
A room that "seats forty" sometimes means forty people packed in tight. Ask for real numbers on comfortable seating, not just the maximum. At PRTC, meeting rooms come in a range of sizes near the Vedder River in Chilliwack, so groups can find a room that fits without feeling squeezed.
