The honest comparison isn't which platform wins outright it's which category you're actually shopping in.

Key Questions to Address Before You Complete Any Contract

In addition to their inherent benefits, certain questions prevail over all features associated with a vendor demo:

  • What is expected to take place during the first week of implementing the system, and who will oversee the transition from the old to the new system?
  •  Which accounting system(s) and ERP are supported out of the box, and which ones require using a third party for integration?
  • How would a request be handled by the approval routing system if it did not fit into the existing criteria?
  • What is the actual cost of transaction processing and not the cost indicated in the vendor’s case study?

Should you stop paying for the system, would you be able to retrieve your transactional history in a file that would be usable in another system?

The last question is normally overlooked. It is also important to note that procurement data holds an exceptional value for finance departments when performing audits in the future.

So where does a buyer fit in?

In recent years, procurement software tools have significantly improved, and while the AI capabilities of the system may still be limited, they continue to eliminate a lot of manual work in invoice comparison and expenditure monitoring. That being said, the term `best procurement software` is ambiguous since you need to take into account your team size, transaction amount, and the e-procurement, P2P, and S2P implementation level you plan to have from the day one.

It is recommended to start with the issue you are going to deal with this quarter, not with the most extensive list of capabilities from a certain comparison chart. It is more beneficial to use a software solution that will allow a team of 40 to work without email approvals in two weeks rather than an all-encompassing software suite which can be run six months later once it is fully implemented.
