How to Verify a Recruitment Agency in India: A Checklist for Gulf Employers

Choosing a recruitment agency in India is one of the most important decisions a Gulf employer makes when hiring overseas workers. A reliable partner keeps the process clear from the first requirement to the day workers are handed over. The wrong one can mean delays, disputes over costs and candidates who do not match the job. A few simple checks before you sign can save weeks of frustration.

1. Ask for the registration number

Agencies that recruit Indian workers for overseas jobs generally operate as registered Recruiting Agents, and each one has a registration number. Ask for it at the very first conversation. You can then verify it on the eMigrate portal run by India's Ministry of External Affairs. Check the current status instead of relying on an old certificate, because registrations can change over time.

2. Make sure the names match

The name on the registration should match the name on the quotation, the contract and the invoice. If a different company name appears at each stage, ask why. Also confirm the office address and contact details. A genuine agency will have no problem sharing where its team sits and who you will be dealing with.

3. Find out what the service actually includes

Two agencies can quote similar prices and deliver very different services. Ask them to list each stage they will handle: sourcing candidates, screening, trade testing, interview arrangements, contract preparation, document coordination, progress updates and worker handover. Also ask what is left for you to handle, such as employer-side approvals in your country.

4. Ask how candidates are tested

For skilled jobs such as welders, electricians, drivers and technicians, a certificate alone is not proof of ability. Ask who sets the testing standard and whether your own supervisor can interview or test candidates, in person or by video. A good agency welcomes your involvement because it leads to better matches.

5. Speak to past employers

Ask for references from employers in your region who have recruited through the agency. A short call with someone who has been through the process tells you more than any brochure. Ask about communication, whether timelines were realistic and how problems were handled.

6. Get the terms in writing

Before any candidate is selected, agree on paper who pays which costs, what is refundable if a worker does not arrive, how long the replacement policy lasts and how often you will receive updates. These conversations feel dull at the start but prevent most arguments later, when a medical fails or a date moves and everyone remembers the arrangement differently.

7. Know the red flags

Be careful if an agency:

  • Refuses to share its registration number or gives different answers each time you ask

  • Guarantees a fixed arrival date without asking about your paperwork

  • Pushes you to pay quickly or only in cash

  • Cannot explain its screening and testing process

  • Offers a price far below every other quote with no explanation

  • Does not allow you to interview or test candidates

None of these automatically means bad intent, but together they are a reason to slow down and ask more questions.

A simple way to compare agencies

When you speak to two or three agencies, ask each the same questions and compare the answers side by side. Notice which agency asks you good questions about the job, the salary, the work location and your timeline. An agency that wants to understand your requirement before quoting is usually one that will manage the process properly.

Final thoughts

Verification does not need to be complicated. Check the registration, match the names, understand the service, see how candidates are tested, speak to a reference and settle the terms in writing. Employers who do this tend to have a smoother recruitment experience and fewer surprises along the way.
