Automatic invoice entry into a business management system – send and forget!

Automation processes in business management

"Wait, what? What is automation??" Automation is the implementation of processes by computer systems with minimal human intervention. In our context, scanning and entering invoice data automatically into the system intended for this. Simply put, the AccountIT business management and accounting system knows how to read invoices and extract from them all the necessary data such as amount, date, serial number and authorized dealer.

Thus, the business owner can choose online accounting options that are much more affordable and convenient than before: inexpensive accounting service packages, or software packages with which the business owner can manage his accounts independently.

How to upload invoices for automatic entry into the AccountIT system? (for all packages)

You can access the automatic document upload screen by clicking "Upload documents for processing" in the secondary menu. This screen looks like this:
As you can see, there are two ways to upload documents for automatic input (first, of course, you must scan/photograph the invoice):
  1. Through the software : In the screenshot shown above, you can drag documents to the "Drag Documents Here" button, or click this button or the "Add Document" button and then select the desired document. Finally, click "Load Documents."
  2. Via email : The document can be sent to the user's personal and unique email (as seen above) for processing by the system.
To see the status of a particular document, you can go to the "Document Archive" located under "System" in the main menu. There are several possible statuses for a document uploaded to the system:
  • Received: The document has been uploaded to the system and is awaiting processing.
  • In processing: The system analyzes the document and extracts the necessary data from it.
  • Clearly: The document has been received and is being processed, and is currently awaiting verification of details (done by the system or the user depending on the package).
  • Addressed: The document data was verified and entered into the system successfully.
Please note that without defining a business number and a business registration number/tax number in the business details settings , the system will not process the document data.

For independent input of invoices and documents (for software packages)

If the business owner has chosen a software package with which he chooses to manage his accounts independently, he must ensure that all the data that the system has scanned is accurate and correct, and approve it before entering it into the system. First, he must enter the "Document Processing Results" screen, which is under "System" in the main menu.

This is what this screen looks like after several invoices have been uploaded for processing by the system:

Here, the user must check and make sure that the invoice data matches the system's document scanning results (the system knows how to accurately capture data, but checking is still necessary to ensure that there are no errors that could create confusion later). For a convenient view of each invoice, you can click on the file icon at the end of each row to open the invoice image above the table.

After verification, highlight the checked row or rows and click the "Execute" button to enter the data into the system. As a reminder, this step is only necessary for the software packages; the AccountIT system will do this for you if you have chosen one of the other business packages.
